SHIPPING & PACKAGING
We go the extra mile to keep your products safe and fresh, both during transit and after you’ve opened the packages.
Quick and efficient shipping is part of what makes Showroom great. The below applies to all orders within the US and Canada. For orders to other countries, you will not be charged shipping upon checkout since we need to quote rates manually.
Green Coffee Packaging:
All coffee products ship in sealed food-grade poly bags, labeled with the origin, lot name and processing method. The exact packaging depends on pack size:
2lb and 10lb: Stand-up, reclosable (zip) food-grade bags. To keep greens fresh after opening, simply reseal the zip.
33lb and 66lb: zip-tied food-grade poly bag, inside a sewn food-grade burlap sack for extra protection. To keep greens fresh after opening, twist the inner plastic liner, bend down the twist, and fasten the bend with a large clip or other clamp.
“Full Bags” (commonly 132.28 (60kg) or 152.12 (69kg), depending on the country of origin). These are plastic-lined (Grainpro or Ecotact) burlap sacks, in the same form as they arrive from the producing country – an added bonus since a lot folks like to collect the various designs painted on the bags in each country. When we ship full bags via UPS Ground we will always add a second burlap for added protection (note that the extra burlap is often from a different lot/country …so don’t be surprised when the outer bags says something different from what you ordered). To keep greens fresh after opening, twist the inner plastic liner, bend down the twist, and fasten the fold with a large clip or other clamp.
Green Coffee Shipping
Free and Flat-Rate Shipping on Green Coffee:
Green coffee shipping rates are simple: Any green coffee orders of 60lbs or more ship FREE. Any green coffee orders under 60lbs ship at a low, flat rate of $6.99. Flat rate and free shipping applies across the US and Canada. If you’re in a rush, you can also choose to pay for Next-Day Air or 2nd-Day Air (UPS, charged at cost) during checkout.
Unless another (paid) service is chosen, all free shipping or flat-rate shipping of green coffee will ship by UPS Ground, USPS Priority Mail or LTL truck. The exact carrier may change based on your location, but, in general here’s how most green coffee usually ships:
- up to 16 lbs green coffee via USPS Priority Mail
- up to 350+/- lbs green coffee via UPS Ground
- over 350+/- lbs green coffee via UPS Ground or LTL Trucking
Roasters and Supplies
Tools and Supplies (cupping bowls, parts, etc) ship in reinforced cardboard boxes, with protection filler as needed.
Roasters ship in wood crates (Arc) or reinforced cardboard boxes (Huky).
All tools and supplies ship free!
Tools and Supplies ship FREE via UPS Ground or USPS Priority Mail. Some small parts may ship via USPS first class mail. If you order any tools or supplies alongside any green coffee, the green coffee shipping rule will apply to the entire order ($6.99 flat rate for orders under 60lbs green coffee, or FREE for any orders with 60 or more pounds of green coffee).
Arc Roasters ship via LTL trucking. To get you the best rates and shipping speed we quote rates from over a dozen trucking companies when you place your order. You will not be charged shipping upon checkout since we need to manually quote these rates (shipping cost will be charged to your card prior to shipment). Arc shipping rates usually range between $175 and $400 within the US and Canada.
Shipping of in-stock Arc Roasters takes 1-4 days to bench test and prepare the crate before shipping. Orders of Arc models not in stock or any special orders wait until our next delivery from our factory (we will notify you of the timeline upon order, and we will make sure to list general production timelines on the Arc Roasters pages). If you’re in a rush and you’ve ordered an Arc not in stock or a special order, we can also ship direct from our factory via air freight (usually $800-$1,200), which usually takes 2-4 weeks between date of order and delivery.
Huky Roasters ship free within the US and Canada. We ship Huky direct from the factory, via USPS Priority Mail. Delivery takes 2-3 weeks from date of order.
For your and the product’s safety, we always book LTL deliveries with a liftgate included. Trucking carriers will call in advance of delivery when delivering to residential locations, however, to commercial locations the call-ahead is not guaranteed. To book with a guaranteed call-ahead please let us know when you place your order (this may incur an extra fee depending on the carrier).
How long does shipping take?
Our goal is for any orders submitted by noon EST to ship same day (excluding weekends and holidays). Orders submitted after noon EST should ship next business day.
Transit times (from The Showroom warehouse in Brooklyn, NY) will vary depending on your location. UPS Ground transit times can be found here (enter our zip code 11215 and choose “shipped FROM this zip code”). LTL Trucking transit times range from 1-6 days in transit

Note that carriers failing to show up for pickups at our warehouse, adverse weather or other conditions may delay shipments with any carrier or shipping method, and, while we make all efforts to ship from our warehouse as soon as possible and choose the most expedient shipping method for you, unfortunately we can’t guarantee transit time of the carriers (UPS, USPS, LTL truckers, etc).
Damages and Claims
In the event that a product arrives damaged, don’t worry, we got you covered. Please make sure to document any damage to the packaging and/or product, including written details and photos. If possible, please note the damage to the driver and make sure to note the damage on any slip that the driver asks you to sign.
If the product was damaged during transport we will likely need to make a claim to the carrier, so the more detail you can provide us the better.
Please get in contact with us immediately after receiving a damaged package, so that we can set you up with an exchange or replacement. Please refer to our Return Policy below for instructions on the replacement/exchange process.
